This describes how the system currently behaves. It has not been reviewed by a legal adviser and is not a statement of compliance.

Privacy notice

How JIA EN handles the details you submit for a property value check.

What we collect

Your identity and contact details: the name or company name, email address and phone number you enter.

Property information: the full address, property type, tenure, built-up size, number of bedrooms and car parks, whether the property has been renovated, your asking price, your expected selling timeline and your SPA lawyer preference.

Photographs: any images you upload when you tell us the property has been renovated. We do not ask for photographs otherwise.

Submission records: the date and time of submission, your browser’s user-agent string, and a one-way hashed form of your IP address. We keep the hash rather than the address itself; it lets us limit abuse of the public form without holding the address.

We record that you gave consent, and when. We do not use cookies to track you across other websites, and there is no advertising or analytics pixel on the enquiry form.

Why we collect it

To carry out the property value check you asked for, to contact you about it, and to keep an internal record of the review and of who did what.

We do not use your details for unrelated marketing, and we do not sell them.

Who has access

Authorised JIA EN staff. Access is restricted by role. Panel valuers see the enquiries assigned to them; operations staff see enquiries for coordination and follow-up; administrators can additionally manage accounts and view the internal audit record.

Panel valuers. The valuer reviewing your property sees the details and photographs you submitted, because that is what the review requires.

Panel law firms. If you ask us to use our panel lawyer, we will share what is needed to progress the conveyancing.

Banking partners. We only share your details with a bank if you ask us to, for example when you want a financing view alongside the value review.

Service providers that process your data

Running this service means your information passes through providers acting on our instructions:

  • A hosting provider that runs the application.
  • A managed PostgreSQL database provider that stores your enquiry details.
  • An S3-compatible object storage provider that stores your photographs in a private bucket.
  • An email delivery provider used to send you updates about your enquiry.

The specific providers and the countries their infrastructure sits in must be listed here before launch, together with whether any data is processed outside Malaysia.

How your information is protected

Enquiry details are held in an access-controlled database. Photographs are stored in a private bucket that is not publicly readable; staff view them through short-lived links that expire after a few minutes and are generated only for a signed-in user.

Staff accounts are individually identified and every meaningful action — assignment, notes, the reviewed value, status changes — is written to an internal audit record.

How we contact you

We send transactional emails about your enquiry: confirmation of submission, when a panel valuer begins the review, when the review is complete, and when the enquiry is closed. These are not marketing emails.

If you message us on WhatsApp, that conversation is handled through WhatsApp and is subject to their terms as well as ours. We do not send automated WhatsApp messages.

How long we keep it

A retention period has not yet been set. It must be decided and stated here before launch, covering both enquiry records and uploaded photographs, and taking into account any records we are required to keep for a professional or statutory reason.

Your rights and how to reach us

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or withdraw your consent. Withdrawing consent may mean we cannot continue the review.

Before this notice goes live it needs:

  • Review against the Personal Data Protection Act 2010 and its standards.
  • The registered JIA EN entity name and address as data user.
  • The named service providers and any cross-border transfer disclosure.
  • A decided retention period for enquiry records and photographs.
  • The Bahasa Malaysia version, where required.
